Privacy Policy

01Who we are

MetroSales.AI is operated by MetroGuild Inc., California, USA, together with its Indian entity, Reconnoiter Technologies & Research Pvt. Ltd., Pune ("MetroGuild", "we", "us"). This policy applies to users of the MetroSales.AI platform and mobile apps, visitors to our website, API and integration partners, and the customers whose data passes through the platform.

02Our role: controller and processor

• Controller — for website visitors, demo requesters, partners and marketing contacts, MetroGuild decides how personal data is used.
• Processor — for the data our customers manage in the platform (their leads, contacts and communications), MetroGuild processes it on the customer's behalf. The customer is the controller of that data.

03Information we collect

• Platform users — name, work email and phone, job title, hashed login credentials, session logs and device information.
• Customer business data — leads, deals, call recordings, transcripts, messages, emails and custom fields that customers store in MetroSales.
• Lead data from integrations — leads received from Meta Lead Ads, Google Ads, real estate portals and web forms connected by the customer.
• Communication data — calls, WhatsApp, email and SMS sent or received through the platform.
• Website analytics — anonymised information such as pages visited and browser type.

04Meta (Facebook) lead data

Lead data received from Meta is used only to place those leads in the customer's own CRM inside MetroSales. We never use it for our own advertising. This data is also subject to Meta's own terms and policies.

05How we use information

• To run, maintain and improve the platform and apps.
• To route and manage leads on behalf of our customers.
• To improve our AI models — using anonymised and aggregated data only.
• To send service communications such as account, billing and security notices.
• To keep the service secure and to meet our legal obligations.

We do not sell, rent or lease personal data or customer data, and we never use customer data for our own marketing.

06How we protect data

Data is hosted on Amazon Web Services (AWS), encrypted at rest and in transit, and kept in a separate database for each customer. Access to production data is restricted and audited. Read more in our Security Policy.

07Cookies

We use essential cookies and analytics cookies only — no third-party advertising cookies. Turning off non-essential cookies does not affect your use of the platform.

08How long we keep data

• Customer data: for the subscription period plus 90 days after it ends.
• Call recordings: up to 365 days, unless the customer configures a different period.
• Website visitor data: anonymised after 26 months.

09Your rights

Depending on where you live — including under the GDPR, India's Digital Personal Data Protection Act 2023 and the CCPA/CPRA — you may have the right to access, correct, delete or port your data, to object to processing and to withdraw consent. Email your request to sales@metroguild.com. We respond within 30 days. If your data is held by one of our customers, we will help that customer respond.

10Sub-processors

We work with carefully selected providers to run the service, including AWS, Meta, Exotel, Twilio, GSIP, WhatsApp Business API providers, speech and language AI services, and real estate portals. A full list is available on request.

11Mobile app permissions

• Microphone — used only for VoIP calls; audio is not stored on your device.
• Contacts — optional; your contacts are not uploaded.
• Notifications — used for lead alerts and reminders.

12When a subscription ends

Customers receive an export of their data within 15 business days. Data is deleted from active systems within 30 days and from backups within 90 days, with written confirmation on request.

13International transfers

Data may be processed in the United States and India. For customers in the EU, we use Standard Contractual Clauses where required.

14Changes to this policy

We will email account administrators about material changes at least 30 days before they take effect.
